Running a freelance business comes with a never-ending to-do list – and if you’re anything like me, some of the most valuable tasks can slip through the cracks. For me, that was my newsletter.
I love writing. I love connecting. But scheduling, formatting, checking links? That’s where things got messy.
In this week’s episode of the Freelancers Tea Break podcast, I share how bringing on my brilliant right-hand woman Jo nearly a decade ago to handle my newsletter transformed everything. It wasn’t just about consistency – it became the foundation of how I create all my content, from podcasts to blog posts to social media.
So if you’re hovering over the “should I outsource?” question – especially when it comes to building your visibility – this post is for you.
The Power of a Consistent Newsletter (Without Doing It All Yourself)
When Jo and I started working together, it was because I couldn’t get my newsletters out the door. I’d write them, sure – but they’d sit unsent in drafts forever. That’s where Jo came in.
At first, we used Mailchimp. It was free, but clunky. Eventually, we upgraded to ConvertKit (now Kit) because I needed better systems – like multiple sign-up pages and welcome sequences – to support a growing audience.
Now, we use Notion to plan and track newsletters in calendar view. I batch my writing once a month, Jo formats and schedules and suddenly… the newsletter goes out like clockwork.
And here’s the fun bit: that newsletter? It’s not just an email. It’s the spark for:
My weekly podcast episodes
Blog posts (like this one!)
Social media content
Ongoing engagement with my community
The newsletter starts it all – and by outsourcing the admin around it, I get to focus on the ideas.
From One Newsletter to Two (Without Burning Out)
We’ve also expanded from one newsletter a week to two:
Friday Newsletter – Deeper thoughts, often inspired by the podcast.
Monday Newsletter – A practical “Freelancer To-Do List” with 3 small, useful prompts around client work, admin and wellbeing.
And here’s a little spoiler: that Monday newsletter? It’s mostly repurposed content from the past few years. We’ve got a giant table of tips, seasonal reminders, awareness days, and prompts – Jo handles it all, with me jumping in when I want to personalise something or add a timely note.
It’s a great reminder that you don’t have to reinvent the wheel every week. Your past content is still powerful – and might land even better the second (or third!) time around, especially when your audience is ready for it.
Thinking of Outsourcing? Start With Your Newsletter
If you’re ready to explore outsourcing but feel nervous about handing off social media or client communication, your newsletter is a fantastic place to start.
Why?
It’s consistent and recurring
You stay in control of the message
It gives you instant breathing space
It becomes the foundation for everything else
For me, that first step – bringing Jo on board – gave me the space and confidence to eventually add a podcast editor, someone to batch reels with, and more. But it all started with one weekly newsletter.
